What is the i-Clean system? Is it a software application, a consultancy service or a documentation pack?
It is all of this, and more. It is a unique framework of services that helps customers manage the whole cleaning process from end to end regardless of whether the service is being delivered directly or through a third party. Although we have developed an award winning software application that can produce the most accurate site specific schedules and financial analysis available, we are very much a hands-on organisation. This means we have a considerable pool of resources that are based on industry accepted best practices and can be easily adapted to specific site use. Because our system is extremely flexible, individual customers can use as much or as little of our service as they wish. Some customers want to know how much time it should take to clean a specific building to a certain standard while others just want an independent auditing service. The first step for most customers is to commission a Pre-Survey which would clearly highlight the areas where the system will have most impact and what elements can and would be used.
What experience of the industry does your team have?
Typically, our account managers will have a minimum of 15 years hands on experience in an operational role within the cleaning industry. This means we understand both the theoretical and operational complexities of delivering cleaning services on the ground. We also have specialist advisors dealing with health and safety, training, HR, TUPE, tender management, etc, again, all having considerable experience of the industry.
How does your auditing process compare with others?
Virtually all cleaning audit systems simply measure the end result. That is, is something clean or not, or, has it been cleaned when it was supposed to be and can you put a figure on it. Whilst it is important to spot trends, we prefer to take a step back and look at all the elements involved in the cleaning process to identify not just what has failed, but why it has failed and how can the failure be eliminated in the future. Therefore, in addition to the overall standard of cleanliness, our audit process also measures elements of management support, staffing levels, training provision, methods, equipment, etc. This methodology encourages continuous improvement and can actually be used in conjunction with other software based quality audit tools. In addition, we can audit in line with the requirements of BS13549 or create bespoke audit processes for individual sites.
How much does the system cost?
Because it is such a comprehensive and flexible system, total costs can vary considerably from one organisation to the next. Each i-Clean Module is charged separately depending on how much of it is required and generally increases in line with the number of cleaning staff and / or sites involved. However, our experience has shown that many organisations suffer from similar issues and, therefor, it is relatively easy to estimate the likely costs involved for us to resolve them. As an example, costs for a typical Pre-Survey begin at £895 plus vat. Please do not hesitate to contact us for a more accurate assessment for your particular requirements.

There are a number of ways the system can help improve the efficiency of your organisation and help you gain a competitive advantage over your competitors. We can help you implement all the policies and procedures needed to deliver an outstanding service to your clients: whether it’s help with scheduling, pricing, health & safety compliance or people management, we have a team of experts with considerable experience running contract cleaning businesses just like yours. Most importantly, our system can help you demonstrate how good a job you do within the budget you have. If the client is expecting an unrealistic service for the cost, we can help you illustrate that. If, on the other hand, you feel there are areas that your organisation can improve on, we can also help you address them.
What about confidentiality?
All work with contractors is subject to a non-disclosure agreement, which we take very seriously. None of the work we undertake for contractors, large or small, is publicised unless a formal agreement has been made. Of course, there can be significant benefits to your business by telling your customers you use the system to maximise the efficiency of your business but this is entirely your choice.
How is the system used specifically by contractors?
The first step in the i-Clean process is to understand which elements of the system are most appropriate to you and to do this we need to conduct an Extended Pre-Survey. This will allow you to identify where the system will benefit you the most. We will look at all aspects of your business and benchmark you against other contractors in line with industry accepted best practice. This will also help identify how competitive you are against other contractors and how you can improve your overall performance and legislative compliance. Once this has been completed, other elements of the system can then be tailored to your individual requirements based on our findings. Contractors rarely need all elements of all Modules so we’ll work with you to determine the best plan of action to deliver the support you really need.
